This policy explains how Concord Technosoft Private Limited collects, uses and protects personal information — on this website, in the products we operate, and in the work we do for clients. Please read it before using our website or services.

Who we are

Throughout this policy, “we”, “us” and “our” mean Concord Technosoft Private Limited.

What this policy covers

This policy applies to concordtechnosoft.com and to the products we build and operate, including Sales360, Sales360 Expo, Tile View, Tile Calc, MultiUserQR, CeramicPost, StartYourIndustry and Sainik School MCQ.

Individual products may carry additional terms specific to how they work. Where those differ, the product’s own terms govern that product.

Two different roles

The distinction matters, because your rights differ depending on which applies.

Sometimes we decide what happens to your data. When you contact us, apply for a role, raise a support ticket, subscribe to our updates, or use one of our own products directly, we determine why and how your information is used. Under India’s Digital Personal Data Protection Act, 2023 we are the Data Fiduciary; in GDPR terms, the controller.

Sometimes our client decides. When we build or operate a system for a client, the personal data inside it belongs to that client and we act only on their documented instructions. We are the Data Processor. If your data sits in a system we run for another organisation, you exercise your rights against that organisation — though we will help them respond.

Information we collect

When you contact us

Your name, company, email address, phone number, the nature of your enquiry and your message. Used solely to respond and to keep a record of the conversation.

When you apply for a job

Your name, email address, phone number, the role applied for, any links you provide, and your CV. Used only to consider your application. CVs are stored outside our public media library under randomised filenames, accessible only to staff involved in hiring.

When you raise a support ticket

Your name, email address, phone number, the project concerned, your description of the issue, and any files you attach. Support tickets are handled in Zoho Desk.

When you subscribe to updates

Your email address, and optionally your name and company. Used to send the newsletter or updates you asked for. We also record when and how you subscribed, because we need to be able to demonstrate that you consented.

When you use our products

What we collect depends on the product and on what you provide. It typically includes account details, contact information, and records of your activity within the product needed to make it work — a saved design in Tile View, an estimate in Tile Calc, a lead captured in Sales360.

Where a product verifies your mobile number, we use it for that verification and for the purpose you provided it for.

When you simply visit the site

Our hosting provider keeps standard server logs, including IP addresses, for security and troubleshooting. We keep a short-lived record of your IP address to rate-limit form submissions so our forms are not abused.

Where analytics is enabled, we also collect information about how the site is used — pages viewed, approximate location derived from IP address, device and browser type, how you arrived, and which outbound links you click. See “Cookies, analytics and advertising” below.

Why we use it

  • To respond to you — answering enquiries, resolving tickets, considering applications.
  • To deliver our services — running the products you use and the systems we build.
  • To meet our obligations — contracts, tax, statutory record-keeping.
  • To keep things secure — preventing abuse, fraud and unauthorised access.
  • To improve what we do — understanding how our site and products are actually used.
  • To market our services — but only where you have consented, or where we are permitted to contact an existing business customer about similar services.

Marketing communications

We send marketing only to people who have asked for it, or to existing business customers about services similar to those they already have.

Contacting us is not consent to marketing. Submitting an enquiry, raising a ticket or applying for a job does not add you to any list.

Email

Every marketing email carries an unsubscribe link that works immediately. You can also write to us and we will remove you. We may keep a minimal suppression record — your email address and nothing else — precisely so we do not contact you again by mistake.

Where our email platform reports opens and clicks, we use that to judge whether what we send is worth sending.

WhatsApp

We only send WhatsApp messages to people who have explicitly opted in to receive them on that number, as WhatsApp’s own rules require. You can stop them at any time by replying to any message asking us to stop, or by writing to us.

Where we operate WhatsApp messaging on behalf of a client, that client is responsible for obtaining opt-in from their own customers, and we act only on their instructions.

Advertising

Where we run advertising campaigns, our advertising partners may use cookies or similar technologies to show you our ads on other websites and to measure whether those ads worked. This includes remarketing — showing our ads to people who have previously visited this site.

You can opt out of personalised Google advertising through Google’s Ad Settings, and of many other providers through your browser’s privacy settings.

Cookies, analytics and advertising

Cookies are small files stored by your browser. We group ours into three categories.

  • Essential — needed for the site to work, such as keeping you logged in or remembering a form submission. These are always set and do not require consent.
  • Analytics — help us understand which pages are read, how people arrive, and where they give up. Set only with your consent.
  • Advertising — used to show and measure our ads elsewhere, including remarketing. Set only with your consent.

You can configure your browser to refuse cookies. Parts of the site that depend on them may then not work as intended.

What we never do

  • We do not sell your personal information to anyone.
  • We do not add you to a marketing list because you contacted us.
  • We do not use client data we process on their behalf for our own purposes — including product improvement, marketing or model training — unless that client has specifically agreed.
  • We do not send WhatsApp or SMS marketing to anyone who has not opted in.

Who else handles your data

These are the third parties that see personal information in the ordinary course of running this website and our services:

  • Zoho Desk — support tickets go directly to Zoho, who host our helpdesk. [Confirm which Zoho data centre your account uses.]
  • Cloudflare — the anti-spam check on our forms receives your IP address to distinguish people from bots.
  • Google Fonts — our typefaces are served from Google’s CDN, so your browser requests them from Google and Google receives your IP address.
  • Meta Platforms — where we send WhatsApp messages, Meta processes them as the operator of the WhatsApp Business Platform.
  • [Hosting provider] — where this website and its data are stored.
  • [Email provider] — delivers email sent from this website.
  • [Newsletter platform, once chosen] — stores subscriber lists and sends campaigns.
  • [Analytics and advertising providers, once enabled] — measure site usage and campaign performance.

Everyone on this list is bound to protect the confidentiality of your information and to use it only for the service they provide to us. We may also disclose information where the law requires it.

How we protect it

Data in transit is encrypted using TLS 1.2 or higher. Access to personal information is limited to staff who need it for their work. CVs and support attachments are stored outside publicly reachable directories. Our staff are bound by confidentiality obligations that continue after they leave.

No system is perfectly secure. If a breach occurs that is likely to affect you, we will notify you and the relevant authority as the law requires.

How long we keep it

  • Enquiries: [X months] from your last contact with us.
  • Job applications: [X months], unless you ask us to delete them sooner.
  • Support tickets: [X years], so we retain the history of a system we maintain.
  • Newsletter subscriptions: until you unsubscribe, plus a minimal suppression record afterwards.

  • Records required for tax or statutory reasons: for the period the law requires.

When information is no longer needed for the purpose it was collected for, we delete it.

Your rights

You can ask us to:

  • tell you what personal information we hold about you and how it is used;
  • correct anything inaccurate, incomplete or out of date;
  • delete information we no longer have a reason to keep;
  • stop sending you marketing, at any time and without giving a reason;
  • withdraw consent you previously gave;
  • nominate someone to exercise these rights on your behalf if you are unable to.

Write to [email protected]. If your data sits in a system we operate for a client, we will point you to that organisation and help them respond.

If you are in the UK or the European Economic Area, you also have the right to object to certain processing, to request a portable copy of your data, and to complain to your local supervisory authority.

Children

Most of our products are business tools not intended for children. Where a product is used by students — Sainik School MCQ, for example — accounts are expected to be created and managed by a parent, guardian, teacher or coaching centre. We do not knowingly use children’s data for advertising or behavioural tracking. [Confirm how verifiable parental consent is obtained for that product; the DPDP Act sets specific obligations for under-18s in India.]

Where your data is held

Our website and products are hosted in [location]. Some services listed above process data outside India. Where that happens, we take reasonable steps to ensure your information remains protected to the standard described in this policy.

Changes to this policy

We may update this policy as our services change or the law does. The date at the top shows when it was last revised. Where a change materially affects how we handle your information, we will say so plainly rather than quietly amending the page.
