Estimating one room is arithmetic and takes five minutes. Estimating a project is something else: eleven spaces, three products, floor and wall in each, a client who changes the guest bathroom twice, and a document that has to survive being sent, questioned and revised. The calculation is the easy part. Keeping the estimate coherent across four revisions is the work.
That distinction is why architects and contractors keep using spreadsheets long after calculators became available.
Why do spreadsheets survive?
Because they do the things a web calculator usually cannot.
- They persist. You come back next week and it is still there.
- They hold the whole project, not one room at a time.
- They can be revised without starting again.
- They produce something to send to a client.
What they do badly is the arithmetic they were chosen for. Box counts get typed in from a PDF or guessed. Wastage is one percentage applied to a total rather than per room. Adhesive and grout are estimated roughly or left out. And the formulas break quietly when someone inserts a row.
So the practical requirement is not a better calculation. It is a calculation that behaves like a document.
What does a project estimate need to do?

Why does the output matter as much as the calculation?
Because the estimate is not for you. It is for a client deciding whether to proceed.
A single total gives them nothing to question and nothing to trust. A room-by-room breakdown lets them see where the quantity comes from, ask about one room rather than the whole figure, and understand why the number is what it is. It also makes revision straightforward — change one line, not the document.
For an architect or designer there is a second consideration. The document goes out under their name, to their client, alongside the rest of their professional output. If it looks like a manufacturer’s brochure, it does not get sent.
That is why the co-branded arrangement works: the professional’s identity at the top, the manufacturer’s in the footer. The document belongs to the person sending it, and the brand still travels to the end customer.
What does this replace?
An afternoon, mostly — but the more valuable saving is the errors.
A project of eleven spaces involves roughly sixty separate judgements: areas, openings, wastage, rounding, materials. Done by hand, in sequence, while being interrupted, it only takes one transposed measurement or one room where the wastage was forgotten for the total to be wrong — and because the answer is a single large number, nothing about it looks wrong until the tiles arrive.
A shortfall on site is not a quantity problem. The replacement boxes come from a different batch, which means visible shade variation in a finished floor. That is the cost of a small estimating error, and it lands on whoever produced the estimate.

Common questions
Can we estimate before the client has chosen a product?
Areas yes, boxes no — box count depends on the specific product. Work in area for a budget conversation, but do not convert it into an order quantity until the product is fixed.
What happens when the client changes one room?
Change that room and the project total updates. This is the main practical reason saved projects beat a fresh calculation each time — most estimates are revised at least twice before anything is ordered.
Can several people work on the same project?
Within a practice or a contracting firm this matters — someone measures on site, someone else prepares the client document. Worth checking that any tool you adopt supports it rather than tying a project to one login.
Does the client see which manufacturer’s tool it is?
In a co-branded arrangement, yes — in the footer. The document is presented under the professional’s name, with the manufacturer’s identity present but secondary. That is generally what makes it acceptable to send.
